COOPERATIVE SPONSORSHIP COMMITTEE
The Cooperative
Sponsorship Committee, a university committee funded from NDSU administration
resources, is organized to assist departments and colleges in bringing guest
lecturers/artists to the NDSU campus. It promotes joint sponsorship of a
wide range of lectures and related public events on timely topics for NDSU
and the Tri-College community.
The committee invites requests for funding from departments and colleges
for 2008-2009. Proposals should be submitted to the committee as soon as
possible. In some years all funds have been allocated during the fall semester.
Funds available after March 1 will be allocated at the discretion of the
committee on a first-come, first-served basis. To ensure the maximum use
of limited available funds, the committee encourages joint departmental
and intercollege program sponsorship.
The guidelines for review of requests for financial support
are:
- All requests should be submitted electronically on the
web form. One copy of the form should also be downloaded, initialed
by chairs of
the departments funding the event, and sent via campus mail to the chair
of the Cooperative Sponsorship Committee. Proposals should be submitted
as early as possible, preferably at least three weeks in advance of
events.
- The committee will provide up to half of the cost of an event, including
lodging, meals, travel, and honorarium for the visiting speaker/artist.
For short-term visits, cost of food for one NDSU host at each meal may
also be included in the request. Preferably, matching funds should not
be requested for ancillary expenses such as advertising, refreshments
for event attendees, etc.
- The committee will provide a maximum of $500 for an event with a single
sponsor.
- The committee will provide a maximum of $900 for an event with multiple
sponsors.
- The maximum amount of funds allocated to an initiating department
shall not exceed $1400 for the academic year.
- Admission charges are strongly discouraged. However, should there
be an admission charge, the Cooperative Sponsorship committee is to
be refunded, in the event of a profit, on the basis of the percentage
contributed. Under no circumstances should NDSU students or staff be
charged for any event partially funded by the committee.
Other general guidelines:
- Events funded by the committee should primarily originate and be
intended for NDSU staff and students. Every effort should be made by
the sponsoring departments to offer broad opportunities for student
contact with guest lecturers.
- Proposals that show Tri-College participation should include contributions
from Moorhead State University and Concordia. The committee will only
provide funding in relation to contributions from the NDSU cooperating
departments.
- There will be no advancement or prepayment of funds for approved
requests. Payments will be made after completion of the event and upon
submission of itemized expenses to the committee chair.
- Sponsoring units should confirm all arrangements within 30 days of
the committee's approval of any request. If the scheduled event does
not take place, the committee should be notified as soon as possible.
- In rare instances, the committee will consider funding arrangements
that require a waiver of one or more of the above guidelines.
