SEARCH COMMITTEE (PRIOR TO SUBMITTING RECOMMENDATION TO HIRING AUTHORITY):
____ Schedule with Colette 231-8788 to attend search committee meetings.
____ Complete Screening Action Form from advertised minimum and preferred qualifications;
draft included, will be e-mailed to you in Excel
(advertised posting enclosed);
• Total points must equal 100 points
• Determine number of points for each advertised qualification (minimum & preferred
= 90 points)
• Document reason for any variances in point values on back of Screening Action
Form
• Notification of North Dakota Veterans/Disabled Veterans will be from Human
Resources
• + 5 additional points to a qualified N. D. Veteran
• +5 additional points to a qualified N.D. Disabled Veteran
____ Screen and Rank candidates according to score;
• Highest total points = most qualified candidate = ranked #1
Qualified North Dakota Disabled Veterans are ranked #1 and considered the top
candidate, no matter what their score, call Colette at 231-8788 to discuss
next step.
____ For applicants not being interviewed, indicate specific reasons (based
on advertised minimums and preferreds) on the green
Recruitment/Employment Checklist. Send these nonselected applicant files to
Human Resources. Human Resources will notify applicants they were not selected
for an interview.
* ____ When setting up candidate interviews:
Ask each candidate: “Do you need any assistance or accommodation during the
interview?” If the candidate says, “yes,” indicate that Human Resources will
contact them and then notify Colette at 231-8788.
Direct candidate ‘where’ to park on campus.
**____ Per Policy 112, a signed Criminal Record Disclosure form
needs to be submitted to Human Resources for the selected applicant prior to
offer. To avoid delay during the interview process, you may wish to have applicants
sign the form at the time of interview.
Does not pertain to internal applicants.
____ Determine what appropriate advertised qualifications you are going to
screen on in the interview. Enter those qualifications on the Interview Report
Form.

can assist you in creating questions for each appropriate advertised
qualification. Send interview questions to Colette for review prior to interviewing.
For assistance in writing questions for compliance with employment laws and
to determine the best matched candidate, call Colette at 231-8788.
____ Conduct reference checks on the top ranked interviewed candidates including
at least the last 2 employers. Be sure to keep your notes (these become part
of the search file); the notes should include name of the reference, date of
the contact and brief summary of the reference’s comments/information. (www.ndsu.edu/hr/employment/resources_hiring.shtml).

____ For each interviewed candidate, complete Part B: RECOMMENDATION of the
Interview Report Form, sign and date, indicate specific reasons for the recommendation
for the selection/non-selection based on advertised minimums/preferreds.
____ Forward Interview file to HIRING AUTHORITY for completion of search:
* Completed Interview reports attached to applicant’s materials
* Criminal Record Disclosure form for selected candidate
* List of Interview Questions
* Screening sheet with all candidates ranked
* Completed Recruitment/Employment checklist for applicants not interviewed
* Reference questions and names of references contacted
HIRING AUTHORITY COMPLETION OF SEARCH
AFTER THE SEARCH COMMITTEE PRESENTS THEIR RECOMMENDATION:
____ For each interviewed candidate, complete
Part C: DECISION of the Interview report form, sign and date, indicate
specific reasons for the decision of selection/non-selection based
on advertised minimums/preferreds. (Please do NOT use “Best Candidate”).
____ Schedule an appointment with Colette at 231-8788 to review interview materials
for completeness and for salary discussion:
* Completed Interview reports attached to applicant’s materials
* Criminal Record Disclosure form for selected candidate
* List of Interview Questions
* Screening sheet with all candidates ranked
* Completed Recruitment/Employment checklist for applicants not interviewed
* Reference questions and names of references contacted
____ Complete the Request to Offer form (www.ndsu.edu/policy/112.htm) for selected
candidate and obtain needed signatures.
Do not make offer to candidate until Human Resources notifies you of the President’s
approval. President will review screening sheet, resumes and interview sheets,
and Criminal Records Disclosure form for selected candidate.
____ After President’s approval, contact selected candidate, offer position
and determine starting dates (after President’s approval date).
____ Notify non-selected interviewed candidates the position has been filled
(via phone or mail).
Human Resources will notify not selected N.D. Veterans by certified mail to
meet required regulations. Send those applicant files to Human Resources.
____ Send completed Form 100 (new employee to NDSU) or Form 101 (current employee
at NDSU) to Human Resources (www.ndsu.edu/hr/forms).
____ After new hire starts, send signed position description to Human Resources,
205 Old Main.
